This job description is established by the South Adams County Fire Protection District (“District”) to outline the basic requirements, duties, and general responsibilities of the Administrative Assistant - Training, and is written to complement the District's Policy Manual and Standard Operating Guidelines.

Position Summary:

The Administrative Assistant - Training is responsible for the professional and efficient greeting of visitors, telephone calls, and messages, as well as a variety of clerical duties that support administrative services, information and referral, and the operation and presentation of a professional office for the Training Division.
Immediate Supervisor:

The Administrative Assistant - Training reports to the Training Division – Operations Manager.

Supervisory Responsibility:

None

Primary Duties and Responsibilities:

The following duties are an overview of the primary duties and responsibilities of the Administrative Assistant - Training and should not be considered an all-inclusive list.

1.    Demonstrate a comprehensive knowledge of the District's rules, policies, and procedures that pertain to the Training Division specifically and the District generally, including but not limited to the rules, policies, and procedures contained in the District's Policy Manual, and Standard Operating Guidelines.

2.    Promptly, accurately, professionally, and courteously receive and direct all telephone calls and visitors.

3.    Operate telephones and direct questions to the appropriate person or division.

4.    Perform general office duties including but not limited to mail handling, typing, proofreading, filing, copying, collating, and data entry.

5.    Assist with coordination of food and event duties that take place at the training facilities. 

6.    Order office supplies and other general supplies as directed.

7.    Sign for deliveries when necessary and deliver to the appropriate recipients.

8.    Respect confidentiality in discussing organizational and wellness program personnel matters.

9.    Assist with fire academy data entry and logistics as directed.

10.    Assist the Physical Therapist (PT)/Wellness Program Coordinator with annual department physicals, wellness schedules, wellness events, and other duties as requested.

11.    Assist the Training Officer/Quartermaster with the distribution of PPE/uniform orders, inputting training rosters, ordering supplies, and other duties as requested.

12.    Assist with the cleaning and maintenance of the training facility, gym, and sauna.

13.    Assist with proctoring Colorado Metropolitan Certification Board (CMCB) written certification examinations for SACFD. 

14.    Assist the Training Division Chief as requested. 

15.    Develop and maintain positive, effective working relationships with District employees, volunteers, retirees, reserves, residents, other governmental entities, and the community.

16.    Maintain positive and constructive written and oral communication skills at all times.

17.    Works well in a progressive, team-oriented environment.

18.    Provides excellent service to the community.

19.    Have a positive attitude and be a self-starter.

20.    Promotes a positive, professional image of the District at all times.

21.    Performs other duties as may be assigned from time to time.


Minimum Qualifications and Certification Requirements:

1.    Possess a high school diploma or G.E.D.
2.    One (1) to two (2) years of administrative fire service experience.
3.    Knowledge of basic fire service terminology.
4.    Knowledge of computer software used to complete assigned projects.

5.    Ability to operate a variety of office equipment, including a computer, copier, fax machine, calculator, and telephones.

6.    Ability to consistently and accurately multi-task and prioritize duties and projects.

7.    Ability to read, write, speak, and understand the English language at a level adequate to perform the duties of the position.

Preferred Qualifications and Certification Requirements:

1.    Colorado Metropolitan Certification Board (CMCB) certified evaluator I within 30 days of employment.

Work Environment and Physical Requirements:

1.    This position will involve sedentary administrative work in an office environment.

2.    Use of sensory activities, such as talking, seeing, and hearing, will be required frequently.

3.    This position requires the ability to sit for extended periods, and frequent pushing, pulling, pinching, gripping, reaching over-head, reaching away from body, and repetitive motions. Standing, walking, kneeling, stooping, bending, lifting, and squatting also will be required as necessary to perform the duties of the position.

4.    Work may involve periods of high mental and/or emotional stress.

5.    Position requires the ability to frequently lift/move objects of up to 15 – 30 pounds in weight, and occasionally lift/move objects of up to forty (40) pounds in weight.

6.    Position requires close vision and the ability to adjust focus.
